ERP and CRM System Integration with Online Shop and Website

We connect ERP and CRM with your online shop, website, and each other. Customers, orders, invoices, stock levels, and sales opportunities flow directly to where sales, warehouse, and accounting teams work—no more copying data between tools.

01 benefits

A single customer record for sales and accounting

Your ERP knows what a customer bought, what they owe, and what is sitting in the warehouse. Your CRM knows what the sales rep discussed and which proposal is awaiting a decision. When these systems do not talk to each other, sales reps call accounting to check payment statuses, and someone manually retypes website inquiries. Integrating ERP with CRM, online shops, and forms closes these gaps.

We work with popular systems such as Subiekt, Optima, enova, SAP Business One, or Comarch ERP XL, as well as CRMs like HubSpot, Pipedrive, Salesforce, and Bitrix24—always confirming the scope of the integration after reviewing the specific software versions and access levels. We define which system is the single source of truth for each field, clean up customer records before the initial sync, and set up monitoring to catch any errors.

  • ERP accounts and orders in your CRM
  • Website inquiries straight into CRM
  • Stock levels, prices, and documents in your shop
  • A source of truth defined for every field
  • Clean database records before launch
  • Monitoring and ongoing integration support

Frequently asked questions

Which ERP and CRM systems can you integrate?

Typically any system providing an API, documented data access, or file exchange. In practice, this includes Subiekt, Optima, enova, SAP Business One, or Comarch ERP XL on the ERP side, and HubSpot, Pipedrive, Salesforce, and Bitrix24 on the CRM side.

Feasibility depends on the version and licensing—certain data exchange modules are paid vendor add-ons. We confirm this before quoting, never mid-project.

What does the ERP and CRM integration process look like step-by-step?

We start with a data mapping: what information needs to flow, in which direction, and how frequently. Next, we determine the single source of truth for each field, check data quality, build the connection, and test it on a data staging copy or a selected batch of records. We only launch full synchronization once the results match exactly what your team expects.

What determines the cost and timeline of an ERP and CRM integration?

It depends on system capabilities, the number of data entities to synchronize, and the synchronization direction. A one-way sync of customer records into CRM is a smaller scope than a two-way exchange of orders, invoices, and payment statuses with an online shop. Data hygiene also affects cost—duplicate records must be cleaned up first.

What happens with customers that already exist in both systems?

First, we match them rather than letting the integration overwrite one with the other. We establish a matching key, such as tax ID (NIP) or email address, and identify unlinked records and duplicates. Ambiguous cases are left to someone who knows your customers best to decide on merging.

Wouldn’t it be simpler to switch to a single ERP system with a built-in CRM module?

Sometimes yes—and if so, we will tell you directly. If neither system is fully adopted or licenses are expiring anyway, switching may be more reasonable than integrating. More often, however, accounting is deeply tied to the ERP while sales depends on their CRM, making system replacement far more expensive than connecting both.

What happens after launch when vendors update the ERP or CRM?

Integrations require ongoing care because systems on both ends evolve. We can monitor the connection, resolve errors, and adapt endpoints to new software versions. We agree on the maintenance scope and incident reporting beforehand so that a sync interruption is never discovered only at month-end closing.
